How do I see who did what?
Use the activity log's seven tabs, filters, search and CSV export to trace every change, sign-in, email and money event.
The Activity log (at the bottom of the sidebar) is a record of everything that's happened in your account — bookings, settings changes, refunds, sign-ins, emails and more. It needs Plus or above; on Free its entry sits, padlocked, in the sidebar's Unlock more section and the page shows a locked card. Managers can view it too (view only); Hosts can't.
The seven tabs
- Important — critical security and billing events only. Manual loyalty balance adjustments always appear here, with who did it, the amount and the reason.
- Everything — the full feed: bookings, settings, staff, sign-ins, the lot.
- Emails — booking confirmations, reminders and marketing emails that were sent. Kept for 90 days.
- Logins — sign-ins to your dashboard (password or Google, including whether two-factor was used) and PIN sign-ins from your staff portal, plus password and two-factor events.
- SMS — booking texts that were sent.
- Money — refunds, deposits, plan changes and billing events, plus promotion discounts with the amount given away.
- Privacy — customer data requests, exports and consent changes.
Routine loyalty earns deliberately stay out of the activity log — each member's ledger on their customer profile is the earn-by-earn history. Reward redemptions are quiet log records, and a promotion running out of uses raises a notification-bell alert.
Filtering and searching
- Type in the search box (Find people, bookings, settings...) to search the feed — it scans your most recent 10,000 entries and tells you if it had to stop there (narrow the date range to search older activity).
- Pick a date range: Last 7 days (the default), Last 30 days, Last 90 days, Last year or All time. The Emails tab caps at 90 days because sent emails aren't kept longer.
- On the Everything tab, filter by category (Bookings, Customers, Staff, Billing, Settings, Marketing, Security) — this dropdown, and the by-user filter available on the audit tabs, need Pro or above. On Plus you still get search and the date range.
- Tick Show support events (Everything tab only) to include actions taken during ResoFlow support sessions, which are hidden by default.
- Tick Hide automatic events (Everything tab only) to hide the routine overnight housekeeping rows (auto-cleared tables, auto no-shows and similar). When shown, long runs of them fold into a single "⚙ N automatic updates" line you can tap to expand.
- Click Refresh to pull the latest entries.
Your search stays in the page's web address, so refreshing the page (or sharing the link with a colleague who has access) keeps the same search.
Drilling in
Click any entry to see its detail — booking-related rows open that booking's full history directly (shown oldest first, marked with an Oldest first chip), so you can trace a booking from creation to clearing. Emails and SMS rows open a delivery popup too: who it went to, whether it was delivered, and the reason if it failed.
The detail view also offers a button to open the record an entry is about — a gift card, order, event, promotion, staff member, customer or booking — so you can jump from "what happened" straight to the thing itself. The button only appears when the entry recorded which record it was about, and only if your role can open that page.
Downloading a CSV
Download CSV exports exactly what the current tab and filters show — every tab, including Emails and SMS. It needs Pro or above (owners on lower plans see an "Available on Pro plan and above" chip), and staff need the Export activity log permission.
- The file is built entirely in your browser and downloads straight to your device — nothing is stored on ResoFlow's servers, so there is no copy anywhere to delete afterwards.
- Each download is capped at the most recent 10,000 entries. If your filters cover more than that, the page tells you clearly — narrow the date range and export again for older activity.
- Every download is itself recorded in the activity log ("downloaded an activity log CSV"), so exports of your history leave history.
How long is it kept?
Activity log records are kept for 24 months on every plan. How far back the page shows depends on your plan: the last 12 months on Plus and Pro, and the full 24 months on Complete — the page states this under the filters. Downgrading never deletes your history; older records simply stop being shown, and upgrading again makes them reappear. Email history is kept for 90 days and text message history for 24 months.
