How do I get analytics by email or PDF?

Set up the weekly summary email and scheduled PDF reports, or export PDF/CSV snapshots on demand.

Emailed reports are configured on the Reports page — in the sidebar under Money, beside Payments and Analytics. There are five cards: the weekly summary email, scheduled PDF reports, the monthly gift card summary (covered in the gift cards guides), the daily Order & Pay sales summary, and the monthly Offers & Loyalty summary. (One-off exports live in the Analytics Export menu instead — see the analytics guide.) On venues whose plan doesn't include the analytics suite, the product report cards live with their product instead: the gift card summary on the Gift Cards page's Selling & settings tab, the Order & Pay daily sales summary on Settings → Order & Pay, and the Offers & Loyalty summary on the Loyalty page's Summary tab.

The Reports page also carries a "VAT summary" card — sales per VAT rate and the VAT inside them for a chosen period (This month / Last month / Last quarter / This year), covering table orders, pre-orders, paid-in-full bookings, extras and event tickets, with a CSV download. Refunds are deducted where the refund recorded its VAT rates; refund money without a rate record is named and NOT deducted, and money with no VAT rate set is listed separately — never guessed. Deposits and no-show fees deliberately carry no VAT. Venues without a VAT number saved (Settings → Payouts & Stripe → VAT receipt details) see an explanation rather than zeros.

The Monthly Offers & Loyalty summary is a once-a-month round-up of your promotions and loyalty scheme covering the previous calendar month: promo code redemptions, discount given, new loyalty members, and rewards redeemed — with a "Rewards given £X" figure whenever redemptions carried a value, and an honest caveat counting any unpriced redemptions. Like every report email it is switched off until you turn it on — its card is the fifth on the Reports page. A month with no offers or loyalty activity sends nothing. Available on Pro plan and above, or with the Loyalty product.

Every card shares the same Recipients options — up to 5 email addresses, prefilled with the owner's email. Every card also carries a real Send now button that sends the actual report to those recipients immediately (Send now is unavailable while you have unsaved changes, and manual sends are limited to 3 per hour per report). The Offers & Loyalty summary's Send now covers last calendar month — if that month had no offers or loyalty activity, it tells you so instead of emailing an empty report. All report types are free — none of them uses your email allowance.

Weekly summary email

A short branded email recapping last week's bookings, covers and revenue, sent to your chosen recipients. Available on Pro plan and above.

Scheduled PDF reports

A branded PDF analytics report sent automatically to chosen recipients, weekly or monthly. Available on Complete plan.

Daily Order & Pay sales summary

Each morning's recap of yesterday's table orders — how many orders, total sales, tips (kept separate), average order value, your top dishes, and the VAT contained in the sales if you've entered a VAT number (worked out on what customers actually paid after any discounts). Any refunds you gave on the day's orders, and any offer discounts or loyalty rewards, are called out as their own lines — the sales figure is the full menu value, before those. Available on Complete plan, or with the Order & Pay product. Off by default.

It arrives at 7am covering the previous day, and is only sent on days that had orders — a closed day never generates a £0.00 email. Rejected (refunded) orders are named separately and never counted as sales.

What arrives

The weekly summary is a quick branded email for you; the PDF digest is a polished, branded report suitable for business partners or your accountant, and its email greets each recipient by name where ResoFlow knows it. Neither replaces the live Analytics page — they're snapshots.
