Tips, money held, and the two bookings reports
Four reports on the Reports page — tips by day to share out, the money you are holding for bookings, events and gift cards that haven't been used yet, bookings and covers, and no-shows and cancellations.
Tips, money held, and the two bookings reports
The Reports page (in the sidebar under Money) has four reports beside Sales, Refunds and VAT. Two are about money — Tips and Money held for the future — and two are about bookings — Bookings and covers and No-shows and cancellations. Each has a period picker (apart from Money held, which is always "as at now") and a CSV button. None of them, and none of their CSV files, names a customer.
Tips
Tips received and tips refunded, day by day, with the total To share out.
- With orders — tips customers added when they paid for an Order & Pay order. They count on the day of the order.
- Added afterwards — tips added later from the receipt or the order's status page. Each is its own payment, so it counts on the day it was paid — a tip added after midnight belongs to the new day.
- Refunded — a tip that went back, counted on the day the money went back. When a whole order is rejected and refunded, its tip goes back with it.
The totals match the Tips line on the Sales tab for the same period. These are the tips customers paid by card through ResoFlow; cash left at the venue isn't recorded here. ResoFlow records the day a tip was paid and the order it came with — it never records which member of staff served, so how you share tips out is yours to decide.
Money held for the future
How much customers have already paid you for things that haven't happened yet. It is a snapshot of the moment you open it — the date and time are on the page — not a figure for a period. Press Refresh to read it again. Like every report tab it has CSV, Print / save as PDF and Email this — the emailed PDF shows what is held at the moment it is made.
What is included:
- Deposits, prepayments and paid extras on bookings that are still to come, less anything already refunded.
- Event tickets for events that are still to come — what was paid by card and by gift card, less anything already returned.
- The balance left on gift cards that are active and have not expired.
What is not included:
- Bookings that have been seated, finished, cancelled or marked as a no-show. A deposit you kept on a cancelled booking is money you have earned, not money you are holding.
- Gift cards that have expired, been voided or were never activated.
- Orders, payment links and no-show fees — they are paid for something that has already happened.
- Stripe fees, ResoFlow fees and payouts: this is what customers have paid, not what is in your bank.
Money is never counted twice: gift-card money spent on a deposit has already left the card, so it shows under the booking and not under gift cards; a refund put back onto a gift card does the opposite. The page also groups the bookings and tickets by the month they are for, and says how much of the gift card balance is on cards you gave away free. If a ticket purchase has refund records that don't add up, it is left out and the page says so, rather than guessing.
Bookings and covers
How many bookings and covers you had for any dates — By service, By source and By day, with the average party. These are the same figures the Analytics page shows for the same dates: cancelled bookings and walk-ins are left out of covers, walk-ins are counted separately, and event tickets aren't table bookings so they aren't counted here. A service is the part of the day a booking is for: morning (before 12:00), lunch and afternoon (12:00 to 16:59) and evening (17:00 onwards).
No-shows and cancellations
For any dates: how many bookings didn't turn up and how many were cancelled, the rates, By service and By day, and what happened to the money:
- No-show fees charged and Late-cancellation fees charged — fees that were actually taken, and how much of them has been handed back since.
- Deposits on no-shows and Deposits on cancellations — how much was paid, how much was refunded and how much you kept.
The no-show rate is measured against the bookings you expected (not the cancelled ones, and not walk-ins — they can’t be no-shows); the cancellation rate against every booking. Fees and deposits are shown against the day of the booking they belong to — the Payments page shows them on the day the money moved.
Good to know
The two bookings reports are made overnight, so today isn't included until tomorrow morning. Very old days don't keep the booking-by-booking detail the by-service split needs; when that happens the page says how many bookings the split covers. Tips and Money held read your live records, so they are always up to date.
