How do I find and manage my customer list?
Search, filter and sort your customer directory, add a customer manually, and export the full list as a CSV.
Your customer list lives under Customers in the dashboard sidebar. Profiles are created automatically when bookings are made, when a table order is paid, and when someone buys a gift card (online with their email, or at the venue if staff took an email address) — so the list builds itself. You only add someone by hand when you want a profile before their first visit.
The Customers page needs the Customer profiles feature — Available on Plus plan and above, and included with every paid ResoFlow product. On Free (with no paid product) the page shows a locked notice instead. Staff can open the page too, but some buttons only appear if their role has the matching permission.
- Click Customers in the sidebar. The header shows how many customers you have (for example "Showing 20 of 143 customers").
- To search, type a name, email or phone number into the Search by name, email, or phone… box and press Enter or click Search. Matching works from the start of the word, so "jo" finds "John" — if you see "Showing the first matches — type more letters to narrow it down", keep typing. Click Clear to go back to the full list.
- To filter, click a tag pill: All, VIP, Regular, Difficult, Allergies, Birthday, Dietary, Family, Seating, plus any custom tags you've created. One filter applies at a time — click it again to switch it off.
- To change the order, use the Sort menu: Last booked, Total bookings, Name A–Z (the default) or First booked.
- The list loads 20 customers at a time — click Load 20 more at the bottom to keep going.
- To add someone manually, click Add customer. In the Add new customer pop-up, Email is the only required field (it's the unique key for the profile). You can also add a first and last name, phone, allergies, dietary preferences, a birthday (birthdays need Pro or above, or the Loyalty product), staff notes and tick Mark as VIP (VIP flagging needs Pro or above). Click Create customer.
- To download the whole directory, click Export CSV. The file includes every customer — not just the rows on screen — with name, email, phone, total bookings, last booked date, total orders and order spend (their Order & Pay table orders, matched by email), VIP status, allergies, dietary preferences, notes, tags and marketing opt-in status. Exporting needs the CSV export feature (*Available on Plus plan and above*, and included with every paid product) and the customer-export permission, which Owners and Admins have by default.
Click any customer to open their full profile on top of the list (a full-screen view on a phone — closing it puts you back exactly where you were).
