How do I turn off no-show tracking? (No-shows, and everything they set off)
What happens when a customer doesn't turn up, what is marked automatically, and how to switch each part off — the automatic marking, the alerts, the emails and the fee.
A no-show is a booking whose customer never turned up. ResoFlow can mark one for you, or your team can mark it by hand — and a no-show can set off an alert, emails and a fee. Everything about no-shows is in one section: Settings → Bookings → During service → No-shows (/dashboard/settings/during-service#no-shows). Owners, Admins and Managers can open this page.
"Turn off no-show tracking" — what do you want to stop?
There is no single switch called "no-show tracking", because it can mean three different things:
- Stop ResoFlow marking no-shows by itself. Switch off Mark no-shows automatically. A booking then stays booked until someone on your team changes it. You can still mark a no-show by hand whenever you want one.
- You don't mark customers as arrived at all — you use ResoFlow to see who is booked in. Choose Just take bookings under How your team tracks a service at the top of the same page. That switches off, and locks, automatic no-shows and the late and missing-customer alerts, because nobody here ticks customers in, so ResoFlow can't know who turned up. Marking a no-show yourself still works exactly as normal. (If your team ticks customers off at the door but doesn't seat and clear tables, choose Mark customers as arrived instead — automatic no-shows keep working, and ticking a customer off stops their timer.)
- Stop something a no-show sets off — the alert, an email or the fee. Each has its own switch; the Everything a no-show sets off list (below) shows what each one does right now, with a Change link to the one place it is switched.
When a no-show is marked automatically
- Mark no-shows automatically (on by default) — a booking nobody has marked as arrived is set to no-show once the time below has passed.
- Mark them after (default 30 minutes, 5–240) — measured from the booking time, not from when the customer was flagged as late. Set it comfortably longer than your late time, so a customer stuck in traffic isn't a no-show before anyone has rung them. It also times the "Possible no-show" pop-up for your team (when late arrival alerts are off and arrivals are recorded), so it still matters with Mark no-shows automatically off.
- An automatic no-show always waits until the table hold has ended. If Hold their table for (in When someone is late, default 15 minutes) is longer than Mark them after, the no-show comes when the hold ends — the row says "in practice …" with the real time, and the page offers a one-click fix to line the two up.
Which bookings are marked automatically: bookings made online and bookings your team added — plus imported bookings that were still to come when you imported them. Walk-ins, bookings tagged Walk-up and event tickets are never marked automatically, and neither is a customer your team has marked as arrived. A waitlist party offered a table who doesn't come to the desk in time is recorded as a no-show while Mark no-shows automatically is on (if they gave an email), and as cancelled while it is off.
An automatic no-show keeps its table until the booking's own time would have ended, so the table isn't given away while the party might be sitting at it. It also sends no money or "we missed you" message straight away: the "your deposit was kept" notice and the no-show follow-up wait until someone on your team confirms the no-show or the booking's time is over with nobody marking them arrived — and a customer you seat after all gets nothing. A no-show your team marks by hand sends them at once.
Everything a no-show sets off
Whether a no-show is marked automatically or by your team, these follow. The list on the page shows each one's live state:
- The customer's history — always: it is added to their history and their no-show count. There is no switch.
- An alert for your team — while Late arrival alerts are on, a missing customer shows as the late arrival alert. With late arrival alerts off, a separate pop-up (or full-screen) "Possible no-show" alert appears at your Mark them after time — never before Hold their table for has ended. While the table is held, the late arrival alert shows the time the hold ends. Nobody gets either in Just take bookings. How it looks and sounds: Settings → Notifications → Alerts and sounds → Alert display style.
- An email copy to your team (*Available on Plus plan and above*) — an email each time a booking is marked a no-show, switched on Alerts and sounds.
- A follow-up to the customer (*Available on Pro plan and above*) — an email and/or a text after they miss a booking, switched on Settings → Communications → Customer notifications.
- Telling the customer their deposit was kept — on by default; sent when a booking that paid a deposit is marked a no-show. Switched on Customer notifications.
- A no-show fee (*Available on Plus plan and above*) — only for bookings that saved a card, switched on in Card to hold on Settings → Payments and deposits → What guests pay. The fee is only ever armed by someone on your team: an automatic no-show never charges anyone. See How do I charge no-show fees?
- A review request — never: a booking marked a no-show is never asked for a review.
- On the timeline afterwards — it stays as a faded block, like every finished booking, unless you hide finished bookings on Settings → Venue → Display and layout.
On a plan without one of these, it waits under More options with a padlock; one a plan change left switched on stays in the list, and its Change link leads to its switch-off.
Marking a no-show yourself
Once a booking is flagged late, a No-show button appears on its action bar — see How do I mark a no-show (and charge the fee)?. If a no-show was marked by mistake — by your team or automatically — click Restore on the booking to put it back to confirmed; that also cancels a fee that hasn't been taken yet.
