How do I search or do anything from the dashboard?
The one search box on every dashboard page — find bookings, guests, settings and guides, or type what you want to do and it opens it, filled in.
Part of How do I use the Home screen?. This part covers the search at the top of every dashboard page: what it finds, the bookings, walk-ins and waitlist entries it starts, the days, hours, menu, team and messages it opens, and what it shows with nothing typed or with several venues.
Search or do anything
The magnifying glass at the top of every dashboard page opens one search box. Ctrl+K (⌘K on a Mac) opens it from the keyboard, and so does Search or do anything at the top of the menu (on a phone, at the top of the menu sheet More opens) — except on the Settings home, where both go to that page's own Find a setting box. The PIN staff portal has it too (on every page but its Settings pages), showing each person only what their own role lets them do. A booking or guest you pick from it opens on top of the page — any window still open closes first. The search doesn't open over a first-visit window (the welcome tour) or a question waiting for your answer (a confirm, or "Confirm it's you"): answer or close that first, then press Ctrl+K again. A setting your plan doesn't include is still found, with a padlock line naming the cheapest way to get it; a switch for something your venue doesn't have at all isn't listed.
It finds — as you type:
- Bookings from the last fortnight and the next two months, by the guest's name, email or phone number, or the booking reference.
- Guests, by name, email or phone number (on plans with guest profiles, for people whose role can see guests).
- Settings — type what a setting is called, like "deposit" or "opening hours", and it takes you to it.
- Guides from the Help Centre — pick one and it opens in Help and support.
Pick a booking or a guest and it opens over the page you're on.
It does things too. You can make a booking from the search: "new booking for 4 at 7pm" opens New booking with the party size and time filled in, and nothing is booked until you save it there. Every other thing it can do is in What the search can do, next.
What the search can do — make a booking, seat a walk-in, add to the waitlist
Type what you want to do in the same box:
- "new booking for 4 at 7pm" opens New booking with the party size and time filled in. Other ways work too: "book 4 at 7", "table for 2 tomorrow at 8", "party of 6", "on Friday at 7pm", "book 3 Oct" or "book 4 on 3 Oct". The row says what it will fill in, and which day — today or tonight, tomorrow, or a date — before you press it. A time without am or pm, like "at 7", means 7pm, unless you're closed at 7pm and open at 7am that day. "Half 7", "half past 7", "quarter past 7" and "quarter to 8" are evening times too (7:30pm, 7:15pm and 7:45pm) unless a word like "breakfast" or "lunch" says otherwise; if you're closed then, the time is left for you to pick. If the row names no day ("next Friday at 7", say), the page opens on today, so check the date before you save. Nothing is booked until you save it there.
- The guest's details go in too: "book Sarah Jones for 6 on Friday at 7, birthday" opens New booking with the name and the occasion filled in as well, and a phone number, an email address or "for 2 hours" fill those in. The row's second line lists exactly what it fills in; anything it can't be sure of — a name like "May", two different names — is left for you. A guest's details never go into the page's address.
- "walk-in" gives Seat a walk-in now, which opens the same Seat a walk-in sheet as the walk-in button (see How do I set up and seat walk-ins?). "walk-in for 3" gives Seat a walk-in for 3 now, and the sheet opens with the party of 3 set. Words about the walk-ins setting, like "turn off walk-ins", find the setting instead.
- "add Smith, 2, to the waitlist" opens Add to the waitlist with the name and the party (and a phone number, if you typed one) filled in — when the waitlist is running and your role can add to it.
- "cancel the Smith booking at 7" (or move, change, refund, or "mark … as a no-show") opens that booking, and nothing more: you press Cancel, Edit, No-show or Refund yourself, with its usual password or manager PIN check. If two bookings match, both are listed — pick the right one.
More the search can do — days, hours, menu, team and messages
The same box also opens these, set up and waiting for you:
- "turn off online bookings tomorrow", "no online bookings Saturday evening" or "we're closed Monday 12th" (or "closed Boxing Day") opens Special dates with a new date added and that change set — online bookings closed (all day, or the times you typed) or closed all day. Times it can't be sure of, like "evening", are left for you. Nothing changes until you press Save there.
- "open 12 until 10 on Sundays" or "closed on Mondays" opens Hours with that day's row set, ready for you to save. Times it can't be sure of (is "5" 5am or 5pm?) are left for you.
- "86 the salmon", "salmon's sold out" or "only 5 sea bass left" opens your Menu with one check for that dish — none left today, or the number left — and nothing changes until you confirm it. Without stock counting switched on, "sold out" marks the dish as sold out instead.
- "add Jo to the staff" opens Add staff with the name filled in. You always pick the role yourself.
- "message tonight's guests saying we're running 20 minutes late" opens Message a day’s guests with the day and your message set (and the times, for "between 6 and 8"). It sends nothing until you press Send, which still asks for your password or a manager's PIN at 10 or more guests.
- "send a marketing email to regulars about the new menu" or "text our regulars" opens a new campaign on the step that picks who gets it (Who gets it for an email, Recipients for a text), showing what you typed as a hint — you choose who gets it. An email's brief waits, typed in, in Ask Rezo for a whole email on the Start step — nothing is designed until you press Design it.
- "a 2-for-1 cocktails offer on Tuesdays" opens New promotion with your words in Draft it for me (not run); "sell a £50 gift card" opens Sell a gift card with £50 set (nothing charged until its payment step); "reply to the 1-star review" opens Reviews on Needs a reply.
- "covers last Saturday", "takings this week" or "September" opens Reports for those dates; "who changed the deposit?" opens the Activity log searching for "deposit".
- "turn online bookings off" gives Turn online bookings off, and "stop taking orders" gives Stop taking orders (with Order & Pay switched on). Both ask first, and say what will happen, before anything changes. While they're off, the row reads Turn online bookings on or Start taking orders again instead, and works straight away.
The search with nothing typed, and with several venues
With nothing typed, the search opens on the things you can do. Each one shows only if your role allows the button it stands for: New booking needs permission to make bookings, Seat a walk-in now needs walk-ins switched on (Your team can add walk-ins in Settings → Bookings → How people book), and the two switches need the same permission as the switches themselves.
Anything else — a question, or something the search can't do — the last row, Ask Rezo: "…", opens Rezo's chat and asks it exactly what you typed.
With more than one venue, the search works on the venue that's open. On All venues it asks Which venue? first, then opens that venue's page (a switch, like online bookings, opens its page there rather than changing it from the search).
Every example, and what each one needs, is in What can I type into the search? — the search window links to it too.
When nothing in the search offers to do what you typed (bookings or guests may still be listed) and you typed at least three words, the row Work it out with Rezo appears above Ask Rezo. It's free (no Rezo credits) and sends nothing until you press it: Rezo then picks the screen you mean from the ones your role can open and what to fill in, and gives you a row marked Worked out by Rezo — check it before you press its button. Press that, check the page it opens, and press the page's own button — Rezo never changes anything itself. Each venue can use it 500 times a month on Free and Plus and 2,000 on Pro and Complete. Phone numbers and email addresses are taken out before Rezo sees your words. More in What can I type into the search?.
