What does Rezo know, and what can it look up?
What Rezo knows about your venue, the emails, texts and bookings it can look up, the booking links it fills in, why a booking can't be made, and Rezo memory.
Part of How can Rezo help, and what can't it do?. This part covers what Rezo knows and can look up: your venue, emails and texts, one booking, booking links, why a booking can't be made, and Rezo memory.
What Rezo knows about your venue
- Your plan and usage — which plan you're on, what's included, and how much of this cycle's allowance you've used.
- The screen you're on — Rezo is told which dashboard or staff-portal page you have the chat open on, and on a settings page which setting you last clicked or tapped (its name and the help line printed under it — nothing else), so "what does this switch do?" gets the right switch. It never sees what you've typed into a form or the values you've set. The page name is kept on the conversation's record so the team can see where you were if a person picks it up; it isn't personal information.
- On the public website — Rezo is told which page of resoflow.co.uk you opened the chat on (Pricing, Features, a help guide — and which guide it was), so "is this included?" is answered for that page. There it can read every published guide. It has no account to look at there.
- A summary of your settings — enough to answer "is X switched on for me?" without you checking first.
- Your opening hours and special dates — your saved hours for the next seven days (breaks included, and whether a break only pauses online bookings), and your special dates in the next 30 days with what each one changes, plus every special date you've opened early (open to book now, or the day it opens) — so "are we open on Boxing Day?" or "why can't a guest book Christmas Day?" gets the answer, not a how-to. At a venue that doesn't take bookings it's your hours plus your product's own facts instead: your gift cards' amounts and how long they last, your loyalty scheme's rule, or your next three events.
- Your recent support conversations — short summaries (never the full transcript) of your last three closed conversations from the past 30 days, so you don't have to repeat yourself. You can switch this off (see below).
Rezo never sees guest card details, passwords or PINs, and it never changes anything by itself. For almost any setting it offers the change as a card in the chat: check it and press Save this? (or Not now) — and Undo puts it back for 30 minutes afterwards. At a venue that doesn't take bookings (gift cards, loyalty, events or Order & Pay on their own), Rezo never offers a booking setting. For anything it can't change it says why in one line and links the exact setting. Every change stays your click.
Rezo can check whether an email or text was sent
If a guest says they never got their confirmation, ask Rezo: "did the confirmation email go out to jane@…?" or "was the reminder text sent?". Rezo reads your venue's own send records for the last seven days and tells you plainly whether the message was sent, is still queued, or failed — and when. For a text it also tells you what the mobile network reported: delivered to the phone, or didn't arrive and why. Addresses are masked in the answer (j***@example.com), and Rezo only ever sees the delivery record, never the message itself. Each check is written to your Activity log so you can see it happened.
Rezo can look up one booking
Give Rezo a booking's reference and ask about it — "was the deposit on TE-AB12CD34EF refunded?". It can look up one booking by its reference: its status, time, table and party size, the guest as initials only, and its money only for people who can see payments. Each look-up is written to your Activity log.
Asking Rezo to make a booking
At a venue that takes bookings, ask it to make one ("book a table for 4 at 7 tonight") and it gives you a link to New booking already filled in with what you told it — the party size, the time and the day. Rezo knows today's date where your venue is, so "tonight", "tomorrow" and "Friday" all fill in the right day (for "next Friday" it leaves the day for you to pick). You check the details and save it yourself.
Asking Rezo why a booking can't be made
Ask "why can't anyone book 7pm this Saturday for 4?" and Rezo shows a Try a booking card in the chat, filled in with the date, time and party size you gave it. The card runs the same check as Try a booking on Booking rules at a glance, on your live settings: whether it can be booked online (or by your team), the rule that decides it, a few nearby times that are offered online, and an Open this setting button to change that rule. It only reads your settings — it never changes one or makes a booking. You need to be able to see your booking settings for Rezo to offer it.
Rezo memory — letting Rezo remember your recent conversations
Go to your account's Preferences page and open Rezo memory. The switch Let Rezo remember my recent support conversations is on by default. Turning it off means every conversation starts fresh: no new summaries are written for conversations you close, and none are used for your new ones. Summaries that already exist are deleted automatically within 30 days.
Summaries are yours alone — a colleague using the same venue's dashboard never sees them, and you never see theirs.
What you can answer
- Rezo knows your plan, your usage, the page you're on (dashboard or staff portal — and on a settings page, the setting you last touched), a summary of your settings, and (if the switch is on) short summaries of your last three closed conversations from the past 30 days.
- It can check whether a booking email or text was sent in the last seven days — and whether a text was delivered — addresses masked, delivery record only.
- It can look up one booking by its reference (like TE-AB12CD34EF): status, time, table and party size, the guest as initials only, and its money only for people who can see payments — logged in your Activity log.
- In the staff portal, Tell my manager (beside the chat) sends your latest question and Rezo's answer to your venue's owner and admins as a notification — never to ResoFlow.
- It never changes a setting by itself — almost any setting comes as a card for you to save (with Confirm it’s you where the page asks for it); the short never-list in Can Rezo change my settings for me? explains and links.
- At a venue that takes bookings, it fills in a New booking link for you to check and save — it never saves a booking itself.
- A second thumbs down, a long conversation, or simply asking all bring in a person — always with your say-so.
- The memory switch lives on your account's Preferences page; off stops new summaries at once, existing ones age out within 30 days.
