The Payments page — every payment in and out
One page showing every payment your venue takes and returns — deposits, pay-in-full bookings, extras, pre-orders, event tickets, no-show fees, payment links, gift cards and Order & Pay — with period filters, print and CSV.
The Payments page is your venue's money home: one list of every payment in and out, newest first — booking deposits, pay-in-full bookings, extras, pre-orders, event tickets, no-show fees, payment-link payments, gift-card sales and redemptions, Order & Pay orders, and every refund. Each row shows the date and time, the type of payment, who paid (where the record carries a name), any useful detail (table, tip, gift-card portion, refund reason) and the signed amount — green for money in, red for money out.
Choosing what you see
- Period: pick Today, This week, This month, Last 30 days, This year, or Custom dates. The list and the totals always cover the chosen period, and day boundaries follow your venue's own timezone — an owner checking from abroad sees exactly the same days as staff at the venue, matching the income export and the VAT summary.
- Type: narrow the list with the type row — All, Bookings, Event tickets, Payment links, Gift cards, Order & Pay, No-show fees, or Refunds (every money-out row across all types). Narrowing the list never changes the totals — those always show the whole period, so a filtered view can't be mistaken for the period's money. Every payment appears once: a payment link that paid for an order, a tip, an event ticket or a gift card shows on that order, ticket or card, while a link that paid towards a booking shows under Payment links.
- Refresh re-reads everything live from your records. The page remembers its figures for five minutes, and the time they were read is shown beside the button.
- If a payment needs a decision from you — a booking payment, a no-show fee or a refund waiting for review — one amber strip at the top of the page says how many, and opens the lists. When nothing is waiting, nothing is shown.
The totals
Four cards sit at the top. Money in, Money out and Net summarise the chosen period, counting real money only — card payments and at-venue payments received, and refunds returned. The fourth, Disputes open, counts chargebacks still waiting for a response — all open disputes, whatever period is picked, matching the Disputes list further down the page.
Gift cards are handled honestly: the money arrives when a card is sold, so a sale counts as money in — and when the buyer paid ResoFlow's fee on top of the card's price, the sale counts their whole charge (as an event ticket does), with that fee taken off among ResoFlow's fees. When a customer later spends the card (at the venue, or covering a booking or order), that spend is shown in the list but not counted again in the totals — it's balance that was already paid for. The period's gift-card spend appears as its own separate figure under the totals. Complimentary gift cards are shown too, marked "not in totals" (no payment was taken). Where a refund went partly back onto a gift card, the row shows the full amount returned to the customer and the totals count only the card portion.
If part of your records can't be loaded, or a very busy period has more records than the page can show at once, a note tells you so — figures are never silently incomplete.
What this page never shows is what you pay ResoFlow: your own subscription invoices live under Account → Billing (and, once consolidated account billing is live, an account's combined invoice appears there for the account owner only).
Each payment's own page, and refunding from a row
Most rows carry a View link that opens that payment's own page — the exact fee breakdown ("customer paid − Stripe's processing fee − ResoFlow's fee = what you received", real figures from your Stripe account, never estimated) plus its refunds. Gift-card spends don't have one — that money arrived when the card was sold.
Money-in rows that can still be refunded also carry a Refund… action, so you can return money without leaving the page — the same refund flows as everywhere else in ResoFlow:
- Booking rows open the booking's refund dialog — a fixed amount (£) or a percentage of what's left.
- No-show fee rows refund the full fee, in one refund.
- Order & Pay rows open the line-by-line refund, so you choose which items (or units) to return.
Each needs the matching permission (*Refund payments and deposits* for bookings and no-show fees; Reject orders and refund the payment for orders) plus a manager's approval — a password confirmation, or a manager's PIN on a shared device. If there's nothing left to refund by the time you click, the page tells you so honestly instead of opening a dead dialog. Event-ticket rows don't offer an inline refund: ticket money is refunded from the booking itself (cancelling a ticket also releases its seat), so use the row's booking link.
Disputes (chargebacks)
Below the payments list, a Disputes section shows any chargebacks raised against your venue's payments — when a cardholder's bank challenges a charge. Each dispute shows when it was raised, the amount, the reason, its current status (needs response, under review, won, lost) and — while it's open — the deadline to respond by. You respond in your own Stripe dashboard (there's an Open in Stripe link on each row — it opens the disputed payment, and you sign in with your own Stripe login if Stripe asks); an unanswered dispute is lost automatically, so ResoFlow also emails the account owner the moment one arrives and again when the outcome lands. The section always shows your recent disputes whatever period is picked above. If the disputed payment was an Order & Pay table order, that order is marked as disputed too — on its Payments row, with the outcome once the dispute closes.
Print and CSV
- Print produces a clean sheet — the period, the totals and every row — using your browser's print dialog. Printing is available on every plan.
- Download CSV exports the same rows plus the totals for a spreadsheet. CSV export is available on the Plus plan and above or with a paid Gift Cards, Loyalty, Tickets or Order & Pay product (the same rule as every CSV export in ResoFlow), and needs the Export reports (CSV) permission.
Who can see it
The page needs the View detailed financial reports permission — owners, admins and managers have it by default; hosts don't. Because these are your venue's own money records, the page itself keeps working on any plan.
Booking and event-ticket rows link straight to their booking, gift-card rows open that card on the Gift Cards page, and Order & Pay rows open that order in your past orders.
