Let trusted regulars book without a deposit or card
Regulars who sign in with enough visits and no recent no-shows (and, if you choose, your VIPs or loyalty members) can book without paying a deposit or leaving a card.
If you take deposits or ask for a card at booking, you can let the guests you already trust skip that step. On Settings → Payments and deposits → What guests pay, tap the Trusted regulars block — it opens in the side panel (the whole screen on a phone), like every block on the page — switch on Don't ask trusted regulars for a deposit or card and press Save changes. It's off until you switch it on, so everyone is asked the same until then — and so are VIPs count too and Loyalty members count too until you tick them. Each setting says what it does, with an example.
Who counts as a trusted regular
A guest counts only once they have signed in on your booking page with a one-time code sent to their email (or ticked to stay signed in on an earlier visit) — so ResoFlow knows the booking is really theirs. A regular who books without signing in is asked for the deposit or card as usual.
Once signed in, a guest is trusted when:
- they have at least the number of finished visits you choose under Visits that make a regular (3 to start; anything from 1 to 20), and they haven't been a no-show with you in the last 12 months; or
- you've switched on VIPs count too and marked them as a VIP on their customer profile (on Pro and Complete, where VIP flags are available) — a VIP stays trusted even after a no-show, because you chose them yourself; with VIPs count too off, a VIP is asked like everyone else; or
- you've switched on Loyalty members count too and they're a member of your loyalty scheme who confirmed their email — as long as they haven't been a no-show in the last 12 months.
For example: Sarah has visited 5 times with no no-shows — once she signs in, she won't be asked for a deposit. And if you've switched on VIPs count too and marked Tom as a VIP, he won't be asked either, even though he missed a booking last month.
ResoFlow checks this when the booking is made, from your own records. The booking page never decides on its own: if anything can't be checked, the guest is simply asked as usual.
What your guests see
Nothing about it. Your booking page never mentions it to guests: a trusted regular who is signed in simply goes straight through without the payment step, with no line saying why, and the page never suggests signing in to change what anyone pays. Everyone else sees your deposit or card step exactly as before.
What your staff see
The booking shows Trusted regular — no card asked at the top of its Overview tab, with what wasn't asked and why (for example, "Signed in with 7 visits and no recent no-shows — the £20 deposit wasn't asked.").
Special dates ask everyone
On a special date you've set up with its own deposit or its own card to hold — Christmas Day, say — everyone is asked for it, trusted regulars too. Your everyday deposit and card rules on every other day still let your regulars off.
To let a regular off on a special date, make the booking for them yourself: in New booking, choose Skip — no charge at the payment step (see How do I create a booking for a customer?).
What doesn't change
- Pay in full stays as it is — a regular still pays for a booking that's paid in full at the time of booking.
- Changing the booking later keeps the same answer: a trusted regular isn't suddenly asked for a deposit when they change the time — unless they move it onto a special date, which asks everyone.
- Everyone else — first-time guests, and regulars who don't sign in — is asked exactly as before.
