How do loyalty members earn stamps and points?
When a visit earns, automatic earning, Order & Pay orders, daily earn limits, events and paid-in-full bookings — and how the card counts visits.
Part of How do I set up a loyalty scheme?. This part covers how members earn: when a visit earns, Order & Pay orders, earning limits, how the card counts visits, and earning per day, at events and from orders.
How earning works — points or stamps
- When a visit earns — choose how visits earn: Automatically awards a booking's visit the moment its table is cleared at the end of service, without anyone lifting a finger. (If nobody at your venue marks tables as cleared, this moment never arrives — see Using ResoFlow as a diary only; the Earning section greys Automatically and says so on screen when that applies to you.) Staff award only leaves every visit to a staff member's hand at the Scanner. A venue that takes no table bookings (Loyalty bought on its own, with no venue plan) doesn't see this choice at all — it reads "Your team awards visits at the Scanner", because no table is ever cleared there. This choice governs visits only — table orders have their own switch (below) and can still earn on their own either way.
- Automatic earning — shown while the trigger is Automatically: award visits automatically when their table is cleared, and turn it off to pause visit auto-earn without losing the setting. Automatic visit earning applies to online bookings made while signed in (the booking page's verify-with-a-code step — the device stays signed in for 30 days, so it's usually one tap), to online bookings whose guest confirmed their email from the link (they ticked the join box without signing in, or — already a member — tapped Collect your stamp in their booking confirmation email) and to bookings and walk-ins your team adds with the guest's email typed in (an email your staff entered is trusted, so no sign-in is needed). Visits without an email — walk-ins seated without one, and imported bookings — are awarded from the Scanner instead. It doesn't touch table orders. Staff can always award manually from the Scanner.
- Table orders earn automatically — shown wherever your venue has Order & Pay. On a plan without Order & Pay this and the other Order & Pay switches are shown greyed, with the cheapest way to add it; a venue with products only doesn't see them. On means a paid Order & Pay table order earns the moment it's paid (see the Order & Pay note below); off means you keep earning on bookings but decline it at the table. It's on unless you turn it off, and it works completely on its own — it applies even when visits are set to Staff award only, because nobody is at the table to award an order by hand.
- Collection orders earn automatically and Delivery orders earn automatically — the same switch for each of the other two Order & Pay channels, on unless you turn it off, and shown only when your Order & Pay includes collection or delivery. Each governs its own channel only: switch delivery off and table and collection orders carry on earning exactly as before.
- Show members their balance when ordering — a guest who signs in at the table-order checkout sees their points or stamps balance while they order. On unless you turn it off; display only — it never changes what earns.
- Invite guests to join when ordering — an un-ticked join box at the order checkout (at the table, for collection and for delivery) for anyone who isn't a member yet, only while joining is open. A guest who isn't signed in becomes a member when they click the link in the confirmation email we send them — and the order they joined with then earns as a member's would; one who signed in with a code joins at once and that order earns straight away. Either way the page never says whether an email already belongs to a member. On unless you turn it off.
Earning limits, tickets and paid orders
- Require a real visit — earning must link to a booking, walk-in, ticket or paid table order (recommended). Where nothing can be linked — no bookings, tickets or table orders at your venue — the requirement doesn't apply, and the switch shows only while it's on so you can switch it off. The Scanner lists today's bookings and tickets to pick from.
How the loyalty card counts visits
A member's visit is recorded once per service day (which runs to 5am): automatically the moment their booking's table is cleared — for a booking made while signed in, one whose guest confirmed their email from the link, or one your team added with their email typed in — or by a staff member at the Scanner, and a door scan of their event ticket counts too; a guest who booked without signing in or confirming earns only from the Scanner. One booking can only ever earn one visit, and a second visit on the same day needs Award again (separate visit) and room under Earns per member per day.
Earning per day, at events and from orders
- Earns per member per day — how many times one member can earn in a day (between 1 and 50). 1 suits most restaurants. If you use Order & Pay, each paid table order counts as an earn, so a new scheme starts at 3 and the field says why — at 1, a table buying three rounds earns once and the other orders don't. Bars and pubs may want more still. A visit is counted per service day, which runs to 5am — so an after-midnight table still counts as that evening's visit.
- Event earning — (greyed on a plan without events, with the cheapest way to add them) Door scans earn a visit (scanning a member's ticket at the door counts as a qualifying visit), and on per-£-spent schemes, Ticket spend earns points (money a member actually pays for tickets earns points automatically when they signed in at the ticket checkout — the same quick email code as the booking page, and a device that's already signed in needs no code at all; buying without signing in doesn't earn, and refunds claw earned points back).
- Paid-in-full bookings earn points — on per-£-spent schemes only, and off by default: a booking paid in full up front earns points on the payment when the visit completes (paid extras never earn). A guest's own online prepayment earns when they signed in on the booking page; a paid-in-full booking your team adds with the guest's email typed in earns without any sign-in — see How do pay-in-full bookings work?.
- Order & Pay — while the channel's switch is on (Table orders earn automatically, Collection orders earn automatically or Delivery orders earn automatically), a paid order counts as a visit for a member who signed in at the checkout (a quick emailed code; the device stays signed in for 30 days, so it's usually one tap) — whatever When a visit earns says, even on Staff award only schemes: stamp and points-per-visit schemes award as usual, and per-£-spent schemes earn points on the food and drink money the guest actually paid — after any promotion or reward they used, and never on the tip. Gift-card cover still earns, because a gift card was bought with real money. Your Earns per member per day setting governs this too, and it is shared with bookings: at the default of 1 a member earns once a day however they visit, and raising it lets each further paid table order earn again up to that number. If staff reject and refund an order, its earn is taken back automatically. Guests who aren't members can join from the checkout's join box (the switch above) — the order they joined with earns once they confirm their email (otherwise an order placed without signing in doesn't earn) — and anyone who didn't join gets a quiet "join the loyalty scheme" line on their order receipt while joining is open.
