How do loyalty messages, emails and the birthday gift work?
Message members, the member round-up and reward-unlocked emails, the yearly birthday gift and Invite a friend.
Part of How do I set up a loyalty scheme?. This part covers keeping in touch with members: Message members, the round-up and reward-unlocked emails, the birthday gift and Invite a friend.
Emails, messages and the birthday gift
- Message members — once your scheme is set up, the Message members button at the top of the Loyalty page posts a short update to every saved wallet card — or only to the members of the member groups you pick (each group keeps its own message beside the one for everyone) — and emails it to the members who have said yes to your marketing — see What do members see on their wallet pass?
- Member round-up email — off by default, and managed in Settings → Guest notifications (the Loyalty section; the scheme set-up shows a pointer card). Its How often members get a round-up choice is Off, Monthly or Weekly: each member gets an automatic email with their current balance and any rewards ready to claim (monthly sends go on the 1st, weekly on Mondays) — transactional emails are unlimited on the plans and products that include loyalty, so sends never eat into an allowance. It goes to members who joined the scheme themselves (or asked you to enrol them) or who have opted in to marketing — joining the scheme counts as agreeing to scheme emails, and that agreement is recorded on the profile at join — the join box and the join pop-up tell guests about the round-up and that they can switch it off, and when you sign someone up from Guests the prompt reminds you to tell them too. Members whose balance arrived only through a CSV import don't receive it unless they've opted in (the import's consent tick covers that), and a guest's marketing opt-out or their Loyalty round-ups switch (on their email preferences page) always wins.
- Reward-unlocked email — on by default: when stamps or points unlock a reward (or a stamp card fills), the member is emailed how to claim it. Switch it off with Send a reward-unlocked message in Settings → Guest notifications (the Loyalty section). It sends at most once per member per reward per day, and members can opt out individually via Loyalty updates in their guest account. The wording is editable in Settings → Email templates ("Loyalty — reward unlocked").
- Birthday gift — off by default, and managed on the Birthdays page (sidebar → Guests → Birthdays, The gift (loyalty scheme) section); the scheme set-up shows a pointer card there. Pick What they get: Bonus stamps / Bonus points (on stamp cards the bonus must stay under the card target), or An offer from a promotion (a saved offer — it comes with Loyalty itself; make one on the Promotions page as an offer used at the venue) — chosen under Which promotion and saved to the member's account (it shows in their portal and on their wallet card, and your team redeems it in the Scanner). You can also choose When it lands (on their birthday, or up to a month before) and, for offer gifts, an optional Offer expires — N days after it lands. The gift arrives once a year, only for members with a birthday on their profile, with up to a week of catch-up if a day is missed. It pauses while the scheme is paused, and an offer gift is quietly skipped while its promotion is paused, ended or deleted — pick another or bring it back and members still in their catch-up window get it. See How do birthdays work?.
- Invite a friend — off by default, comes with Loyalty everywhere, and is managed in Settings → Loyalty (its Invite a friend section; a change there waits for Save changes, and saving it never touches the rest of your scheme). Switch on Reward friends who join and every active member gets a personal invite link and code from their loyalty card. You choose What the friend gets and What the inviter gets separately — An offer from a promotion (a claimable promotion saved to their account; needs promotions, on the Pro and Complete plans) or Bonus stamps / Bonus points — and when each lands (the friend When they join or After their first visit; the inviter When the friend joins or After the friend's first visit), plus Rewarded invites per member each year (1–10) and an optional Venue-wide cap each year. ResoFlow never emails the friend — the member shares the link. See How does "Invite a friend" work in loyalty?.
