How do I set up student, NHS and other member groups?
Student, NHS, blue light, over 60s, locals and regulars groups — the perk, how each is checked, how long it lasts and how it shows on the card.
Part of How do I set up a loyalty scheme?. This part covers member groups: the six ready-made groups and your own, the perk, how a group is checked, how long it lasts, the Regulars group and how groups show on the card.
Member groups — student, NHS and other discounts
Member groups sit on top of your scheme: a member keeps the same card, stamps or points and rewards, and a group they belong to adds a perk you choose. Set them up in Settings → Loyalty, in the Member groups section (after Invite a friend). They come with loyalty wherever it is — Pro, Complete or the Loyalty product — at no extra charge.
- Six ready-made groups, each off until you switch it on: Student discount, NHS & care discount, Blue light & forces discount, Over 60s discount, Locals’ discount and Regulars’ discount. Add your own group for anything else (a local office, a sports club) — up to 12 groups in all. A group can't be about health, religion, politics, trade unions, ethnicity or sexuality.
- The perk — what the group gets, in your words (the suggestion is "10% off food and soft drinks"). Tick The perk includes alcohol if it does, and the card reminds you that drinks discounts in Scotland must follow the licensing rules on drinks promotions and minimum unit pricing. Your team applies the perk at the venue and taps Used in the Scanner — once a visit. If you have Promotions, a promotion can also be limited to a group ("Students only") and then comes off by itself at the order checkout for a confirmed member. With Marketing, a campaign can go to a group too: in the campaign's Recipients step, Build my own group → Member groups sends it only to members confirmed in the groups you pick who have opted in to marketing.
- How it's checked. Your team confirms any group at the venue in the Scanner after seeing the proof — a student card, an NHS or care badge, a service ID or Blue Light Card, a bus pass or driving licence, a local address. Students can also confirm themselves in their account with a code sent to their university email (any address ending .ac.uk, plus any Other university email endings you add); NHS & care checks by a code to an NHS email from the day you switch it on — nhs.net, nhs.scot, wales.nhs.uk and hscni.net are built in, and Other work email endings adds a care provider or a health board; your own groups can use a code to a work email when you list its Work email endings. Blue light & forces is checked by your team, as its cards aren't tied to one email. A university email can't tell a student from staff or a graduate, which is why confirmations end. ResoFlow never keeps the university or work address — only its ending.
- How long it lasts — A confirmation lasts 12 months unless you change it (1 to 36 months); Over 60s never ends and is only ever confirmed by your team, never worked out from a birthday. A member is emailed a month before theirs ends; at the end only the perk stops — their membership and balance stay.
- Regulars’ discount fills itself from visits. Set Visits to become a regular (2 to 50; 5 to start): a member joins by themselves once they've been in that many times, and each new visit keeps their place for 12 months — so a regular who stops coming leaves by themselves a year after their last visit, and a visit brings it back. No staff check, no code, no reminder email; your team can't confirm or end it by hand. Switched on, members who already have enough visits join by the next morning — on a very large scheme (more than a few thousand members) within a few mornings (not a guest whose last visit was over a year ago).
- Ask to see the card each time prompts your team to check the proof on every visit, not just the first. No check — the guest says so is for a small perk only.
On the card. A member's live groups show on the front of their Apple or Google Wallet card and under the QR code in their account — "Student · until Jun 2027", "Student · Locals", or "Student +2 more" when they don't fit — so showing the card is the proof at the counter. An ended group drops off the card (the reminder email goes a month before). When your team scans the card in the Scanner, it lists every group with its perk and says which ONE to give: the biggest saving it can read from your perk's words ("10% off", "£3 off", "half price" — compared on a £20 bill; a perk with no amount comes last). The perks at the counter don't add up — one a visit. A promotion limited to a group can add to another on Order & Pay when you switch on Can be added on top of other offers.
The member list's Member group filter and each member's chips show who's in which group, and a member's panel says who confirmed them and until when. Groups are never asked for on the booking, ticket or ordering forms — members add them in their account, on your loyalty page, or at the venue with your team.
