How do I set up loyalty rewards and extras?
Rewards and their menu links, 18+ rewards, rewards at the Order & Pay checkout, the join bonus, earn multipliers, the public earn line and enrolling on the spot.
Part of How do I set up a loyalty scheme?. This part covers the extras: the join bonus, earn multipliers, rewards and their menu links, rewards at the order checkout, the public earn line and enrolling a guest on the spot.
Extras worth knowing
- Join bonus — off by default. Give new members stamps or points when they join; on stamp cards the bonus must stay under the card target. The join tick-box wording mentions the bonus when it's on.
- Earn multipliers — boost earning ×2 or ×3 on chosen days or dates (e.g. "Double-points Tuesdays"), up to 5 windows.
- Rewards — what members redeem their stamps or points for, up to 20 rewards. Switch one off to hide it without losing it. You can also cap Redemptions per member per day (blank = no daily cap; between 1 and 50 when set). A reward's description shows to members in their portal catalogue, so write it for guests. Members are told plainly how claiming works — their points card says staff will apply the reward at the venue, and the scheme designer's Rewards step names the mechanism (your team applies it in the Scanner). Each reward can also be linked to your menu: choose Any item from a category or A specific dish (or leave No menu link for the written-description reward it always was) — the Scanner then shows the linked dish or category under the reward name so the team knows what to hand over, and at the Order & Pay checkout a linked reward becomes a true free item (below). Deleting a dish or category a reward links to warns you first, exactly as it does for a promotion scoped to that dish. Rewards that include alcohol are 18+. A reward linked to A specific dish takes that dish's Contains alcohol mark from your menu (change the dish and the reward follows); any other reward has its own This reward includes alcohol tick. Members see "18+ · ID may be checked" beside it wherever the reward is shown, and when your team redeems it the Scanner says "Contains alcohol — check ID (Challenge 25)". Joining the scheme stays open from 16. There's also a once-per-member toggle — a one-off reward a member can claim exactly once (a once-per-member reward may cost 0). Every redemption records what the reward was worth at that moment, which is what feeds the "Rewards given" figure in your analytics.
- Rewards at the order checkout — off by default. Each reward has an optional Checkout value (£) (between £0.01 and £500; blank means the reward is handed over at the venue only; a value means that much off an order — money off the bill, not the named item), and the Let members use rewards when ordering toggle lets a signed-in member put one such reward towards their order at the Order & Pay checkout. While that toggle is on, every live reward needs a checkout value or a menu link — the checkout can only offer a reward it can price. Saving a reward that has neither refuses with "needs its checkout value — a £ amount, or the dish or category it's for", and any existing reward in that state is flagged in Settings → Loyalty (under Your scheme) and in the set-up's rewards list ("Members can't use this when ordering — set its value"), with a Set its value link that takes you to it (Set their values when there are several); hidden rewards are never flagged, because they're offered nowhere. Three switches under the toggle say where rewards can be used — Rewards at the table, Rewards on collection orders and Rewards on delivery orders — all on unless you turn one off, each governing its own channel only (switch delivery off and a member ordering delivery sees no reward picker, while table and collection carry on exactly as before). A reward linked to a menu category or dish works differently there: it's a true free item — the member picks any one item from the linked category (or the linked dish itself) and that item's actual price comes off the bill as a free line, with VAT on the receipt apportioned over what was actually paid, exactly as promotion discounts already are. One reward per order; it applies after any promotion and never touches the tip, and any value beyond the order isn't carried over — no change is given (the checkout says so before the guest pays). Whether a reward can come off set menu & deal prices is your choice: the Rewards can be used on deal prices toggle (right beside it on the Rewards step, on by default) lets a reward's value come off deal money too — "3 for £15" plus a £5 reward costs £10, and a deal-only order can still use a reward. Switch it off and rewards only ever cover individually priced dishes — see How do promotions, deals, rewards and gift cards work together?. Your daily redemption cap and one-per-member rewards are enforced there exactly as they are on the Scanner, and if you reject the order the reward goes straight back onto the member's balance.
- Public earn line — the sentence shown beside the join tick-box on your public pages (leave blank for the standard line, e.g. "Loyalty members earn a stamp with every visit.").
- Enrol on the spot — staff can sign a guest up front-of-house: a lookup in the Scanner that finds no membership offers Enrol this guest (the staff member needs the "Award stamps and points" permission).
